Mailreef review: $249 a server, $0.001 a send, and the limits that size your bill

Mailreef rents each customer a dedicated mail server and IP for $240 a month on a 12-month commitment or $249 month to month, plus $0.001 a send, and lets you create unlimited SMTP/IMAP mailboxes on it. One server is meant for 50,000 cold emails a month, warmup runs in an outside tool, and payments are not refundable. For teams that want their own IP and already run a sequencer it is a clear model; for 12 to a few hundred mailboxes, Outreach2day costs less all in and includes warmup and sending.

Overview

What Mailreef is

Mailreef is built by Mailreef LLC, part of Dabble Holdings, a Philadelphia startup studio; its about page says the same team started and sold Warmup Inbox. The product is cold email hosting: a mail server and IP that belong to your account alone, domains bought in one click or brought from your registrar, mailboxes created in about 2 minutes each, and SPF, DKIM and DMARC set automatically.

It does not send campaigns or warm mailboxes. Mailboxes connect to Smartlead and Instantly through an integration and to lemlist, Saleshandy, PlusVibe, Snov.io, Mailshake, Close and other tools over SMTP/IMAP, with a help article for each. Warmup comes from your sequencer or a tool such as Warmy, at the 1:1 cold-to-warm ratio Mailreef recommends.

Every customer is screened and approved before access, and new accounts start with a demo rather than a self-serve checkout. The pricing grid also lists pre-warmed servers, domains and mailboxes, with no price published.

Add-ons and extra costs

The bill has two parts. The server is $240 a month on the Agency plan with a 12-month commitment, or $249 on Agency Flex, month to month; Enterprise is quoted. On top, every send costs $0.001, which is $1 per 1,000. Mailboxes are free and unlimited, so the price per mailbox depends on how many you put on a server.

Sending volume sets how many fit. Mailreef recommends 150 mailboxes a server, 50 emails per mailbox a day at most and 3 mailboxes per domain, and its help center caps a server at 50,000 cold and 50,000 warmup emails a month. At 25 cold emails a day that is about 90 mailboxes a server; at 50 a day, about 45. Above the cap the help center says to add a server.

Outreach2day is $2.50 a mailbox from 12 with warmup and its own sequencer in the price, month to month, and a quoted volume price from 1,000 mailboxes.

Monthly list prices on monthly billing. Sending volume = mailboxes × emails per mailbox a day (Mailreef: 25, as ours; Mailreef allows up to 50, and one server per 50,000 cold emails a month; Outreach2day: 25) × 22 sending days; the Instantly plan is the cheapest one that covers it. Mailreef does not publish a domain price, so its domains (3 mailboxes each) are left out of the total, marked "from"; Outreach2day .com domains at $13 a year, 5 mailboxes per domain. Domains spread over 12 months. Above 1,000 mailboxes Outreach2day prices on a call.

The table sends 25 cold emails per mailbox a day on both sides. At 100 mailboxes that is 55,000 a month, past one server's 50,000, so Mailreef needs two: from $650 a month with Instantly, before domains. At 500 mailboxes it is six servers and from $2,127.

Mailreef does not say whether warmup sends count toward the $0.001 fee; the table prices cold sends only, so the real bill can be higher.

What Mailreef does well

  • A mail server and IP that no other customer sends from
  • Unlimited mailboxes on a server at no extra cost
  • Server insights: blacklist status, a bad-copy score and sends per box
  • Smartlead and Instantly integration, plus SMTP/IMAP guides for lemlist, Saleshandy, PlusVibe and more

Verdict

Mailreef is a good fit for an agency that sends tens of thousands of cold emails a month, wants an IP of its own and already pays for a sequencer and a warmup tool. At 90 mailboxes on one server the server and sends come to about $300 a month before the sequencer.

For 12 to a few hundred mailboxes the server is the expensive part. 50 mailboxes on Mailreef with Instantly are from $373.50 a month; on Outreach2day they are $135.83 with warmup, our sequencer and 10 domains included.

Switching

Moving from Mailreef to Outreach2day

  1. Keep your sequencer

Connect Instantly or Smartlead in Outreach2day with an API key and the warm mailboxes are added to your account; other tools take a CSV in their import format, or SMTP/IMAP logins. How the export works

  2. Or move the campaigns

Our sequencer runs campaigns with steps, a send schedule, stop on reply and one inbox for replies; import the contacts as a CSV and recreate the steps. The mailbox price stays $2.50.

  3. Warmup and the overlap

New mailboxes warm for 14 days before cold email, and warmup keeps running after that. Keep the Mailreef mailboxes sending during those two weeks, then shift the volume and cancel Mailreef for the end of its billing period.

Agency Flex can be stopped at the end of any month; the Agency plan runs 12 months. Nothing is refunded, and after a downgrade servers or IPs cannot be added back for 120 days.

In detail

Mailreef pros and cons

Pros, from Mailreef's own pages: a dedicated server and IP per customer, so no shared sending reputation; unlimited free mailboxes; one-click domains and mailboxes with DNS set for you; server insights for blacklist status, a bad-copy score, sends per box and boxes per domain; live technical support with a deliverability chat; an API and Zapier for mailbox creation; and a month-to-month plan.

Cons: a server costs the same with 10 mailboxes or 150, so small setups pay a high price per mailbox; warmup and sending need other tools; domain and pre-warmed prices are not published; there is no free trial or self-serve checkout; nothing is refunded; and after a downgrade you cannot add servers or IPs back for 120 days.

The terms that matter

Section 28 of the terms says payments "shall not be refundable under any circumstances". Section 29 adds a 120-day cooling-off period: after you reduce servers or IPs, you cannot raise them above the new level for 120 days, unless Mailreef grants an exception in writing.

Domains you buy through Mailreef are purchased on your behalf, and the terms authorise Mailreef to bill subscription and usage fees, sends included, to the card on file. The company is Mailreef LLC, a Delaware limited liability company, and disputes go to arbitration under Delaware law.

Moving mailboxes to or from Mailreef

To move Google or Outlook mailboxes in, you add the domain to Mailreef and change its MX and DNS records; the old mailboxes stop working the moment MX moves, and old emails are not copied. Mailreef's help center says the moved mailboxes need 14 to 30 days of warmup again, because the sending IP is new.

The same holds in the other direction. Leaving Mailreef for another provider means a new sending IP and a new warmup, so run the new mailboxes on new domains while the Mailreef server keeps sending. The options side by side are on Mailreef alternatives.
