CSV import

Add Outreach2day mailboxes to Saleshandy

Outreach2dayUpdated
On this page

Short answer

Download the SalesHandy CSV from Outreach2day, set Email Service Provider to Other, merge the two sender name columns into Sender name, then upload it in Saleshandy under Settings > Email Account > SMTP/IMAP > Bulk Import Via CSV (up to 100 accounts per file). Host outreachmailstream.com, SMTP 465 and IMAP 993 with SSL. Set the daily quota to 25; warm-up keeps running in Outreach2day.

What you get

  • A CSV in Saleshandy's import format with the SMTP and IMAP settings of every mailbox you pick
  • Warm-up keeps running in Outreach2day after the export, included in the price
  • SPF, DKIM and DMARC already set on every domain

Export the CSV and import it into Saleshandy

In Outreach2day

  1. Select mailboxes. Open Mailboxes and select the mailboxes to export, or export all of them
  2. Download the file. Click Export and pick SalesHandy. The CSV downloads with one row per mailbox

In Saleshandy

  1. Get Saleshandy's sample. Settings > Email Account > SMTP/IMAP > Bulk Import Via CSV and download the sample CSV (docs.saleshandy.com)
  2. Fill it. Paste the values from the Outreach2day file without changing Saleshandy's headers; Email Service Provider = Other with the SMTP and IMAP host, port and encryption filled (docs.saleshandy.com)
  3. Upload and connect. Upload the file (up to 100 accounts, 5 MB) and click Connect. Duplicates and rows without an email are skipped, and an email arrives when every account was tried (docs.saleshandy.com)
  4. Or add one mailbox. Settings > Email Account > Add Email Account > SMTP/IMAP, enter the settings, test SMTP and IMAP, then Connect & Save (docs.saleshandy.com)

Fields in the Saleshandy CSV

The file from the SalesHandy export has these columns:

ColumnValue
Email AddressThe mailbox address
Email Service ProviderOutreach Today (change to Other)
Sender First Name, Sender Last NameSender name (merge into one Sender name column)
SMTP Username, SMTP PasswordThe address and the mailbox password
SMTP Host, SMTP Port, SMTP Encryptionoutreachmailstream.com, 465, ssl
IMAP Username, IMAP PasswordThe address and the mailbox password
IMAP Host, IMAP Port, IMAP Encryptionoutreachmailstream.com, 993, ssl
Start with email per day, Increase email by every day, Maximum emails to be sent per day, Reply rate10, 10, 50, 5 (no matching column in Saleshandy's sample)
  • The SMTP and IMAP columns match Saleshandy's sample file. Saleshandy asks you not to change its header names, so paste the values into its sample
  • Email Service Provider must be one of Saleshandy's values; for Outreach2day mailboxes use Other
  • Saleshandy's sample has one Sender name column; put first and last name together there
  • Our four limit columns have no counterpart in the sample; use its Daily quota (25), Ramp up email start number and Ramp up Percentage columns instead, or set them after the upload

Connection settings

To add a single mailbox by hand, or to check what Saleshandy saved, use these settings:

FieldValue
SMTP hostoutreachmailstream.com
SMTP port465 (SSL/TLS)
IMAP hostoutreachmailstream.com
IMAP port993 (SSL/TLS)
Username (SMTP and IMAP)The full email address
Password (SMTP and IMAP)The mailbox password from the export (the same for SMTP and IMAP)

Sending settings per mailbox

  • Mailboxes can send cold email 14 days after warm-up starts; warm-up keeps running after that
  • Up to 25 cold emails per mailbox a day, warm-up not counted
  • Start low on day 14 (for example 5 a day) and reach 25 around day 21
  • To send more, add mailboxes and domains; keep the per-mailbox number at 25

Where to set it in Saleshandy:

  • Daily sending limit: Settings > Email Accounts > select the account > Sending Settings (set 25). For Other providers Saleshandy's hard limit is 4,000 a day, far above what a cold mailbox should send (docs.saleshandy.com)
  • Ramp-up: Sending Settings, Start by and the daily increase in percent; Saleshandy suggests starting at 5 and adding 10 to 20% a day (docs.saleshandy.com)

Why 25: how many cold emails one mailbox should send a day. The day-by-day ramp: email warm-up schedule.

Warm-up

Warm-up for Outreach2day mailboxes runs in Outreach2day and is included in the price. It keeps running after you export the mailboxes, whichever tool sends from them, so the other tool's warm-up is optional.

  • Saleshandy's warm-up runs in TrulyInbox, a separate app that syncs SMTP/IMAP accounts after you connect it with a Saleshandy API key (docs.saleshandy.com)

Keep warm-up on while the mailbox sends: should I keep warm-up running while sending.

DNS and tracking domain

  • SPF, DKIM and DMARC for every Outreach2day domain are set and checked automatically; you add nothing for sending
  • A custom tracking domain is a CNAME on a subdomain of your sending domain. For a domain whose DNS Outreach2day hosts, add it in the app: Domains, open the domain, Manage DNS records, Add record (type CNAME). For a domain whose DNS stays at your registrar, add it there
  • A tracking domain matters only with open or click tracking on. In the first cold email, leave out the tracking pixel and links and measure replies (see the answer on open tracking below)
  • Saleshandy's custom tracking domain is a CNAME with host go, link or get pointing to watch.saleshandy.com (TTL 3600); on Cloudflare keep it DNS-only (docs.saleshandy.com)
  • Then Settings > Custom Tracking Domain > Add Custom Domain, pick the email account, enter go.yourdomain.com and verify (docs.saleshandy.com)

More on tracking: do open tracking and links hurt cold email deliverability.

Troubleshooting

Error or symptomFix
Could Not AuthenticateCheck the login and that SMTP is 465 with SSL/TLS and IMAP is 993 with SSL/TLS (docs.saleshandy.com)
Email Account not foundWrong address or password, or wrong port and encryption (docs.saleshandy.com)
Connection TimeoutRecheck host and port; if they are right, contact Outreach2day support with the time of the error (docs.saleshandy.com)
Invalid Domain Error on the tracking domainThe CNAME is missing or not propagated yet (docs.saleshandy.com)
Authentication failed / invalid credentialsUse the full email address as the username and the password from a fresh export. A disabled mailbox is exported with an empty password, so it can't connect
Connection timed out or SSL/TLS handshake errorUse SMTP port 465 with SSL/TLS and IMAP port 993 with SSL/TLS, both on outreachmailstream.com. Check that the tool did not switch the security setting to STARTTLS or none
Mailbox connects but can't send yetCheck the mailbox in Outreach2day: new mailboxes are being set up for up to 24 hours, and cold email starts 14 days after warm-up starts
Mailbox disconnected after it workedReconnect it in the tool with the same settings. With a one-click connection (Instantly, Smartlead) and auto-reconnect on, Outreach2day reconnects it for you

If bounces climb after the mailboxes connect, look at the list: why a cold email bounce rate gets too high.

FAQ

Why does Saleshandy reject the SalesHandy CSV as it is?

Saleshandy's current sample uses one Sender name column, a fixed list of provider names and its own limit columns. Our file has two name columns, Outreach Today as the provider and different limit columns, so paste its values into Saleshandy's sample as described above.

How many accounts can one Saleshandy CSV hold?

Up to 100 accounts per file and 5 MB, per Saleshandy's bulk import article. Split a larger export into several files.

Do I need TrulyInbox for Outreach2day mailboxes?

No. Warm-up for Outreach2day mailboxes runs in Outreach2day and keeps running after you add them to Saleshandy.
