Short answer
In Outreach2day open Mailboxes, select the mailboxes and Export > Download CSV. In EmailBison open Email Accounts > Connect email account > Bulk Upload Custom Provider, download its sample CSV, copy our values under its headers (one name, one password, servers and ports) and upload up to 500 rows a file. Host outreachmailstream.com, SMTP 465 and IMAP 993 with SSL. Warmup keeps running in Outreach2day.
What you get
- A CSV with the SMTP and IMAP settings of every mailbox you pick
- Warmup keeps running in Outreach2day after the export, included in the price
- SPF, DKIM and DMARC already set on every domain
Export the CSV and import it into EmailBison
In Outreach2day
- Select mailboxes. Open Mailboxes and select the mailboxes to export, or export all of them
- Download the file. Click Export and pick Download CSV. The CSV downloads with one row per mailbox
In EmailBison
- Open the bulk upload. Email Accounts > Connect email account > Bulk Upload Custom Provider ("Upload a csv of custom email addresses"); on your instance the page is /sender-email-connect/bulk-custom-provider (help.bisonsphere.com)
- Match the sample. Click See sample CSV file and copy the Outreach2day values under its headers as described below (help.bisonsphere.com)
- Upload. Attach the file, up to 500 accounts; EmailBison verifies each account and shows "CSV processing completed. N sender emails added." (help.bisonsphere.com)
- Fix any failed account. If an account says connection failed, add that one by hand to see the exact error, correct the row and upload it again (help.bisonsphere.com)
- Or add one mailbox. Connect email account > Custom Provider (IMAP / SMTP Compatible): Name, Email, Password, IMAP Server and Port, SMTP Server and Port, tick TLS/SSL for both, then Connect my account (help.bisonsphere.com)
- Or use the API. POST /api/sender-emails/imap-smtp on your instance creates one account (name, email, password, imap_server, imap_port, smtp_server, smtp_port, smtp_secure, imap_secure); a bulk endpoint takes a CSV. The API allows 3,000 calls a minute per key (dedi.emailbison.com)
Fields in the EmailBison CSV
The file from the Download CSV export has these columns:
| Column | Value |
|---|---|
Email | The mailbox address; in EmailBison: email |
First Name | Sender first name; in EmailBison: name, joined with Last Name |
Last Name | Sender last name; in EmailBison: name, joined with First Name |
IMAP Username | The mailbox address; in EmailBison: not needed: the username is the email |
IMAP Password | The mailbox password; in EmailBison: the one password field (the same as SMTP) |
IMAP Host | outreachmailstream.com; in EmailBison: IMAP server |
IMAP Port | 993; in EmailBison: IMAP port, SSL on |
SMTP Username | The mailbox address; in EmailBison: not needed: the username is the email |
SMTP Password | The mailbox password; in EmailBison: the one password field |
SMTP Host | outreachmailstream.com; in EmailBison: SMTP server |
SMTP Port | 465; in EmailBison: SMTP port, SSL on |
Daily Limit | 20; in EmailBison: leave out; set the limit in EmailBison |
Warmup Enabled | TRUE; in EmailBison: leave out; keep EmailBison warmup off |
Warmup Limit | 20; in EmailBison: leave out |
Warmup Increment | 3; in EmailBison: leave out |
- EmailBison does not publish its bulk-upload headers: click See sample CSV file on its upload page and put our values under its headers. Its custom-provider form and API take one name, the email, one password, the IMAP and SMTP servers and ports, and an SSL setting for each
- Join First Name and Last Name into one name column. Our SMTP and IMAP passwords are the same, so one password column covers both, and EmailBison's rule that SMTP and IMAP use the same username fits: ours is the full address for both
- Daily Limit, Warmup Enabled, Warmup Limit and Warmup Increment are settings for other tools; leave them out and set the daily limit in EmailBison after the upload
- One file takes up to 500 accounts; split a larger export into several files
Connection settings
To add a single mailbox by hand, or to check what EmailBison saved, use these settings:
| Field | Value |
|---|---|
| SMTP host | outreachmailstream.com |
| SMTP port | 465 (SSL/TLS) |
| IMAP host | outreachmailstream.com |
| IMAP port | 993 (SSL/TLS) |
| Username (SMTP and IMAP) | The full email address |
| Password (SMTP and IMAP) | The mailbox password from the export (the same for SMTP and IMAP) |
Sending settings per mailbox
- Mailboxes can send cold email 14 days after warmup starts; warmup keeps running after that
- Up to 25 cold emails per mailbox a day, warmup not counted
- From day 14 set the daily limit to the full 25; warmup has already run 14 days
- To send more, add mailboxes and domains; keep the per-mailbox number at 25
Where to set it in EmailBison:
- Daily sending limit per account: Email Accounts, Settings next to the account (set 25); several accounts at once through PATCH /api/sender-emails/daily-limits/bulk (help.bisonsphere.com)
- Campaigns have their own max daily emails and EmailBison does not spread volume across campaigns, so size each campaign's cap to the mailboxes attached; pause and restart a campaign for a new limit to apply at once (help.bisonsphere.com)
- EmailBison's recommended campaign settings: open tracking off, plain text (help.bisonsphere.com)
Why 25: how many cold emails one mailbox should send a day. The day-by-day schedule: email warmup schedule.
Warmup
Warmup for Outreach2day mailboxes runs in Outreach2day and is included in the price. It keeps running after you export the mailboxes, whichever tool sends from them, so the other tool's warmup is optional.
- EmailBison keeps custom SMTP accounts from vendors outside its approved list (Winnr, MissionInbox, ScaledMail SMTP, InboxedUp, Lunatro) out of its warmup network; they connect and send. Outreach2day is not on the list, so leave EmailBison warmup off for these mailboxes (help.bisonsphere.com)
- Warming up in another tool and sending from EmailBison is supported: add the other tool's warmup tag or phrase under Master Inbox Settings > Ignore Phrases / Warmup Tags so warmup emails stay out of your master inbox (help.bisonsphere.com)
- For accounts in its network, EmailBison's only required warmup setting is the maximum daily warmup limit; the ramp is automatic (help.bisonsphere.com)
Keep warmup on while the mailbox sends: should I keep warmup running while sending.
DNS and tracking domain
- SPF, DKIM and DMARC for every Outreach2day domain are set and checked automatically; you add nothing for sending
- A custom tracking domain is a CNAME on a subdomain of your sending domain. For a domain whose DNS Outreach2day hosts, add it in the app: Domains, open the domain, Manage DNS records, Add record (type CNAME). For a domain whose DNS stays at your registrar, add it there
- A tracking domain matters only with open or click tracking on. In the first cold email, leave out the tracking pixel and links and measure replies (see the answer on open tracking below)
- Custom tracking domain in EmailBison: Settings > Custom Tracking Domains > Create Tracking Domain, then point the CNAME it gives you (help.bisonsphere.com)
More on tracking: do open tracking and links hurt cold email deliverability.
Troubleshooting
| Error or symptom | Fix |
|---|---|
| Connection failed after the CSV upload | Add the failing mailbox by hand to read the error; usually a header that does not match the sample, a missing SSL setting or the wrong port. SMTP is 465 and IMAP 993, both SSL (help.bisonsphere.com) |
| Invalid MX records | EmailBison checks the MX of each sending domain. Domains bought in Outreach2day get their DNS records set automatically; for a domain whose DNS stays at your registrar, check its MX record there (help.bisonsphere.com) |
| Cannot connect more emails | Your instance hit its soft limit on connected accounts; ask your EmailBison account manager in Slack to raise it (help.bisonsphere.com) |
| Campaign sends fail | Send one manual email from the EmailBison master inbox; if that fails too, check the mailbox in Outreach2day (set up, ready to send and enabled) (help.bisonsphere.com) |
| Authentication failed / invalid credentials | Use the full email address as the username and the password from a fresh export. A disabled mailbox is exported with an empty password, so it can't connect |
| Connection timed out or SSL/TLS handshake error | Use SMTP port 465 with SSL/TLS and IMAP port 993 with SSL/TLS, both on outreachmailstream.com. Check that the tool did not switch the security setting to STARTTLS or none |
| Mailbox connects but can't send yet | Check the mailbox in Outreach2day: new mailboxes are being set up for up to 24 hours, and cold email starts 14 days after warmup starts |
| Mailbox disconnected after it worked | Reconnect it in the tool with the same settings. With a one-click connection (Instantly, Smartlead) and auto-reconnect on, Outreach2day reconnects it for you |
If bounces climb after the mailboxes connect, look at the list: why a cold email bounce rate gets too high.
FAQ
Does Outreach2day have a one-click export to EmailBison?
No. Outreach2day mailboxes go to EmailBison as a CSV of their SMTP/IMAP settings (Export > Download CSV), uploaded through EmailBison's Bulk Upload Custom Provider. The one-click API export works for Instantly and Smartlead.
Can EmailBison warm up Outreach2day mailboxes?
EmailBison keeps custom SMTP accounts from vendors outside its approved list out of its warmup network, and Outreach2day is not on that list. You do not need it: warmup for every Outreach2day mailbox runs in Outreach2day, included in the price, and keeps running while EmailBison sends.
How many Outreach2day mailboxes can I upload to EmailBison at once?
Up to 500 accounts per CSV upload. Above that, split the export; above about 10,000 accounts EmailBison asks you to contact support to scale your instance.
What daily limit should I set in EmailBison?
25 cold emails per mailbox a day from day 14, once warmup has run 14 days. EmailBison does not publish a cold-send number for custom SMTP accounts.
Do I need EmailBison to send from Outreach2day mailboxes?
No. Outreach2day has its own sequencer with steps, schedules, stats and a reply inbox at $2.50 a mailbox. EmailBison is for teams that want a private instance with dedicated IPs and white label, from $599 a month.
