Short answer

In Apollo, select the contacts in Search > People, click Export, choose verified emails only and download the CSV. Remove rows whose Email status is not Verified, rename Email, First name and Company name to email, first_name and company, and import the file into an Outreach2day campaign. At 25 cold emails per mailbox a day, a 3-step sequence reaches about 180 new leads per mailbox a month.

Export the list from Apollo

  1. Find the contacts. In Apollo click Search > People and filter to your list, a saved search or saved contacts (knowledge.apollo.io)
  2. Select and export. Check the contacts or use bulk selection, click Export and choose to export only contacts with verified emails (knowledge.apollo.io)
  3. Pick the fields. Click Edit export CSV settings and keep the fields you will use: first name, last name, email, email status, title, company name, website (knowledge.apollo.io)
  4. Download. Click Export records. Large exports finish in the background under Settings > Import & Exports > CSV Exports, where you download the file (knowledge.apollo.io)
  • Exporting saved contacts uses no credits; each net-new person with a verified email uses 1 credit (knowledge.apollo.io)

Columns and how they map

Columns in the Apollo export and what each one becomes in Outreach2day. Rename the headers before the import (or pick the field if the import asks you to map columns); a column you keep under its own name becomes a variable with that name.

Clean the list before import

  • Apollo's email statuses include Verified, Unverified, Update required, Unavailable, User managed and Catch-all; Apollo recommends enrolling only verified or likely-to-engage addresses and using unverified ones only as an infrequent last resort (knowledge.apollo.io)
  • Apollo calls a bounce rate under 2% acceptable and says to investigate at once if it stays above 5% (knowledge.apollo.io)
  • Inside Apollo, its sending protection flags a sequence at a 4% bounce rate and pauses it at 6%; an imported list in another tool has no such guard, so clean it first (knowledge.apollo.io)
  • Apollo's verified emails older than 6 months lose its bounce guarantee and may need to be enriched again (knowledge.apollo.io)
  • Verify the list with an email verifier before import; Outreach2day does not verify addresses for you
  • Drop invalid addresses, and drop catch-all and unknown ones when your bounce rate is already high
  • Remove duplicates and anyone who asked not to be contacted, from every list you send
  • Keep only the columns you use in the emails: email, names, company, title and one or two personal lines

Import into an Outreach2day campaign

  1. Create a campaign. In Outreach2day open Campaigns and create a campaign. It stays a draft, and nothing is sent until you launch it
  2. Write the steps. Add the emails of the sequence. Use the columns of your file as variables, for example {{first_name}} and {{company}}
  3. Import the CSV. Open the campaign's Leads tab and import the file. It needs a header row and an email column; the other columns become variables
  4. Attach mailboxes. Attach mailboxes that are ready to send. The preflight check shows what is missing: steps, contacts, mailboxes or warm-up
  5. Launch. Launch the campaign, then follow sent, replies and bounces in its stats and the replies in the inbox

How many mailboxes for your list

Each mailbox sends up to 25 cold emails a day, about 550 a month on weekdays. With a 3-step sequence every lead takes up to 3 of those sends, so the number of new leads a month is the monthly sends divided by 3:

A list of 5,000 verified leads on a 3-step sequence needs about 28 mailboxes for one month, or 14 for two. New mailboxes send cold email from day 14 of warm-up, so order them two weeks before the list is ready. The capacity calculator works it out for other volumes.

FAQ

Which Apollo email statuses should I import?

Verified. Apollo itself recommends sending only to verified or likely-to-engage addresses. Leave out Unverified, Update required and Unavailable, and leave out Catch-all unless your bounce rate is low and you run them through your own verifier.

Why send an Apollo list from Outreach2day instead of Apollo sequences?

Apollo recommends 50 to 100 emails a day per mailbox and caps custom IMAP/SMTP mailboxes per user (5 on Professional, 15 on Organization). Outreach2day gives you as many mailboxes as the list needs at $2.50 each, with warm-up and campaigns in the same product.

Can I use Outreach2day mailboxes inside Apollo?

Yes, one at a time: in Apollo, Settings > Outbound > Mailbox > Link mailbox > Other > Custom IMAP settings, with host outreachmailstream.com, IMAP 993 and SMTP 465. Apollo's mailbox CSV import accepts only its own lowercase columns (email, provider, smtp_host, smtp_port, imap_host, imap_port, password), so build that file from the Outreach2day export first.

Does Apollo's export include the email status?

Yes, Email status is one of Apollo's export fields, along with the catch-all status of the primary email and the date it was last verified. Select those fields in the export settings so you can filter on them.
