MailDeck vs ScaledMail: two managed vendors for Outlook, Google and SMTP inboxes

MailDeck and ScaledMail sell the same three inbox types, build them for you and load them into your sequencer, and both leave warm-up to that sequencer. They differ in how they package Outlook: MailDeck puts 100 inboxes on one $30 tenant, ScaledMail 25 mailboxes on a $50 domain. ScaledMail publishes higher sends per mailbox, a public API and sells domains; MailDeck is cheaper per inbox and wants your registrar login.

Cost at 2,000 cold emails a day

Outlook: MailDeck Premium sends 8 to 10 a day per its pricing page, so 2,000 a day takes 200 to 250 inboxes, 2 or 3 tenants at $40: $80 to $120 a month at the current sale price, on 2 or 3 domains you buy. ScaledMail Outlook sends up to 10 a day, so 200 mailboxes on 8 domains at $50: $400 a month.

Google: MailDeck says about 20 a day per inbox, so 100 inboxes, the $299 Enterprise plan. ScaledMail allows up to 25, so 80 mailboxes at $3.50: $280 a month. ScaledMail's reporting add-on is $2 a mailbox more.

Both bills leave out the same item: the sequencer that runs warm-up and every send. Domains are separate at both; ScaledMail does not publish its domain price.

Where they differ

Inboxes per domain

MailDeck's Outlook tenant is one domain with up to 100 mailboxes. ScaledMail's Outlook domain carries 25, and its Microsoft tenant IPs rotate every 15 days. Google and SMTP sit at 5 per domain on MailDeck, 2 to 3 (Google) and 4 (SMTP) on ScaledMail.

Fewer domains means fewer to buy and renew. It also means one burned domain takes 100 MailDeck inboxes with it, against 25 at ScaledMail. MailDeck replaces burned domains for free.

Setup and what you hand over

ScaledMail buys domains for you or connects yours, and quotes 24 to 72 hours (2 to 4 business days on the home page). MailDeck needs domains you already own, your registrar login with two-factor login switched off during setup, and your sequencer password; it quotes 48 to 72 hours.

Both give every customer a private Slack channel. ScaledMail has a public REST API for workspaces, domains, orders and mailboxes. MailDeck lists API access on its Google plans but publishes no API docs. Neither runs an MCP server.

Refunds and ratings

ScaledMail's terms make every fee non-refundable, including after a block by Google or Microsoft. MailDeck refunds only trial users with one tenant whose mailboxes were not delivered working within 10 to 14 business days, once per customer.

On Trustpilot ScaledMail had 4.8 from 46 reviews and MailDeck 4.3 from 29 when we checked. MailDeck's home page shows 4.8, and Trustpilot flags it for displaying Trustpilot content incorrectly.

Is MailDeck cheaper than ScaledMail?

Per Outlook inbox, yes: $0.30 to $0.40 on a 100-inbox tenant against $2 on ScaledMail's 25-mailbox domain. MailDeck's inboxes send fewer emails a day, and its prices are marked as a sale over higher regular prices. On Google, ScaledMail's $3.50 at 25 a day costs less per email than MailDeck's plans at about 20.

Do MailDeck and ScaledMail include warm-up?

Both set up warm-up in your sequencer, which runs it. Neither sells warm-up of its own.

Which sells domains?

ScaledMail sells domains or connects yours. MailDeck does not sell domains; you buy them at a registrar other than Cloudflare.

Which has an API?

ScaledMail publishes a REST API. MailDeck lists API access on its Google plans but publishes no documentation. Neither has an MCP server.

Do they give refunds?

ScaledMail refunds nothing. MailDeck refunds only single-tenant trial users within 30 days when the mailboxes were not delivered working.
