Apollo review (2026): seats from $65, credits and the real cost

Apollo is a B2B contact database first, with 240M+ contacts and 30M+ companies, and sequences, a dialer and AI agents built around it. Seats start at $65 a month with a credit allowance that pays for emails, phone numbers, warmup and mailboxes. As a prospecting tool it is strong; as a sender it is priced by seat, and each Professional seat links only 5 IMAP/SMTP mailboxes.

Add-ons and extra costs

Basic is $65 per seat a month ($49 billed annually) with 2,500 credits per seat, Professional $99 ($79) with 4,000, and Organization $119 per seat billed annually only, with a 3-seat minimum. Credits cost 1 per email revealed and 8 per phone number, and unused credits expire at the end of each billing cycle. Every plan and add-on is in our Apollo pricing breakdown.

Sending limits come with the seat. Free and Basic send up to 250 emails a day and link 1 mailbox per user. Professional links unlimited Google and Microsoft mailboxes but only 5 IMAP/SMTP ones per user, and Organization raises that to 15.

Warmup includes about 1 mailbox per seat; each extra mailbox costs 200 credits every 30 days, and warmup pauses when the credits run out. Mailboxes bought in Apollo cost 300 credits a month (Apollo SMTP), 800 (Google) or 1,500 (Microsoft), each capped at 200 emails per 24 hours.

Why each Apollo plan

Priced as a sender with SMTP mailboxes, Apollo needs one seat per 15 mailboxes on Organization: 3 seats ($357) at 1,000 emails a day, 14 ($1,666) at 5,000 and 27 ($3,213) at 10,000. With Outreach2day mailboxes and domains that is $466, $2,209 and $4,300 a month.

With Google or Microsoft mailboxes the picture changes: one Professional seat links unlimited of them, so the Apollo line drops to $99 a month and the cost moves to the mailbox seats and to warmup credits for every mailbox past the first.

Outreach2day all-in is $109, $543 and $1,087 at the same volumes, with warmup for every mailbox. The cheaper split is one Apollo seat for prospecting and the sending on Outreach2day.

In detail

Is Apollo good for sending cold email?

For a rep sending a few hundred emails a day from a Google or Microsoft mailbox, yes: sequences, A/Z tests on Professional and per-mailbox daily and hourly limits are built in. Apollo itself recommends 50 to 100 emails per mailbox a day, starting at 50.

For a fleet of SMTP mailboxes it is an expensive sender, because the seat count follows the mailbox count, and warmup beyond one mailbox a seat is paid in the same credits you use for data.

Credits, refunds and the fine print

One pool of credits pays for emails, phone numbers, enrichment, AI research, the dialer, warmup, domains and mailboxes, and the price of extra credits is set on a slider in the app. Bought mailboxes are deactivated if the plan changes or the credits run out.

Apollo's terms say payments are non-refundable, with no refund for unused time on a downgrade, and domains and mailboxes bought in Apollo are non-refundable too.

API, MCP and our mailboxes in Apollo

Apollo runs an official MCP server at mcp.apollo.io on every plan, including Free; it can enrich contacts, create sequences, enroll contacts and send one-off emails, and enrichment spends credits. Our Apollo MCP comparison sets its tools next to ours. The REST API has basic access on all plans.

The Outreach2day app exports mailboxes as a CSV in Apollo's import format, up to 500 rows per file on paid plans. Outreach2day vs Apollo prices the two as senders side by side.
